Registrar Position Available

Langley Community Music School (LCMS) is a centre of excellence in music education. A non-profit charitable organization serving the community since 1969, the school is recognized for its comprehensive and innovative programming for students of all ages and levels. The organization is also a presenter of concerts to the community, with three concert series and a 250-seat recital hall.

LCMS is seeking a Registrar to join our administrative team. The successful applicant will provide excellence in customer service and ensure frontline inquiries are handled positively and accurately, the registration process is smooth and efficient, and student records are well-maintained. They also support special events undertaken by the school.

Core Responsibilities

  • Responding to general inquiries about educational programs, scholarships, bursaries, concerts and events, with a view towards student recruitment and event promotion
  • Providing an exceptional standard of customer service in relation to the school’s many programs and initiatives, ensuring that information provided to the public by the Registrar’s Office is accurate, timely, consistent, and reflects positively on LCMS
  • Processing student registrations and tuition payments in the school’s registration system, including data entry
  • Working with the Accounts Manager, assisting with bookkeeping duties as required
  • Supporting and assisting with promotion of special events, including performances, festivals, master classes, community concerts and other activities undertaken by the school
  • Maintaining a shared handover log with other team members of the Registrar’s office to ensure consistency of information and seamless continuity of service
  • Teacher studio scheduling and room coordination
  • Internal communications with faculty, parents and students
  • Preparation of reports relating to registrations, lessons and financial transactions
  • Monitoring re-enrollment and sending reminders as necessary
  • Advising on registration policies, processes and systems
  • Assisting with the production and of marketing and event materials as required (e.g. posters, concert programs)

Skills/Experience

  • Minimum 5 years experience working in a professional office environment (non-profit or educational setting an asset)
  • Completion of post-secondary degree in a relevant field
  • Knowledge of music (classical, jazz)
  • Self-motivated, goal-oriented, energetic and proactive team player who interfaces well at all levels of the organization
  • Ability to work collaboratively and independently
  • Excellent written/verbal communications skills with the ability to multi-task, prioritize and meet deadlines in a fast-paced environment
  • High attention to detail
  • Second language an asset

Work is generally scheduled from 9:30am-4:00pm Monday through Friday. School office hours extend to 7:30pm weekdays, and Saturdays 9:30am-1:30pm, and schedule flexibility to work the occasional later shift is an asset. Flexibility of hours during the training period will be required, within office hours.
